SpeakOps Privacy Policy
Effective Date: April 12, 2026
Last Updated: April 12, 2026
SpeakOps, operated by 0 Lumen Labs ("we," "us," or "our"), respects the privacy of our users and their customers. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the SpeakOps website, dashboard, integrations, communications tools, and related services (collectively, the "Service").
Please read this policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected in the "Last Updated" date above and will become effective when posted on this page unless otherwise stated.
You are encouraged to review this Privacy Policy periodically. Continued use of the Service after updates means you accept the revised policy.
Information We Collect
Automatically collected data
When you access the Service, we may collect information such as IP address, browser type, device details, operating system, access times, referring URLs, pages viewed, interaction logs, and similar technical usage data.
User-provided and workspace data
We collect information needed to create and operate a SpeakOps workspace, such as account information, business details, team member details, customer interaction data, uploaded documents, call and message records, appointment details, and related operational data you choose to provide or connect.
Google account and Google Workspace data
When a workspace owner connects Google OAuth, SpeakOps requests only the permissions needed for the enabled integration. Based on the current codebase, this can include:
- Google account identity and email information through `openid` and profile-related scopes
- Google Calendar access to list, create, update, reschedule, and cancel calendar events
- Gmail access to search emails, read message content, and send email replies or new messages
Connected Google data may include email metadata, email content, calendar event titles, descriptions, attendees, locations, timing, and related operational context needed to perform the requested workflow.
Use of Your Information
We use collected information to:
- create and manage accounts, workspaces, and integrations;
- operate customer support, scheduling, and communication workflows;
- retrieve, process, and present operational information requested by the workspace owner;
- generate summaries, suggested actions, and other service outputs;
- improve performance, reliability, safety, and user experience;
- monitor usage, investigate abuse, and enforce our agreements; and
- comply with legal obligations and respond to lawful requests.
Disclosure of Your Information
With the workspace that uses SpeakOps
Customer and integration data is made available to the business and authorized users operating the SpeakOps workspace so they can serve their customers and manage operations.
With service providers
We may share information with vendors and subprocessors that help us host the application, authenticate users, send messages, process communications, store data, and support product functionality, subject to appropriate contractual and security controls.
With integrations and connected platforms
When you authorize integrations, SpeakOps exchanges information with those connected platforms to perform the actions you request, such as reading or sending Gmail messages, creating calendar events, or syncing operational records.
For legal or safety reasons
We may disclose information if required by law, regulation, legal process, or when reasonably necessary to protect users, customers, SpeakOps, or the public.
No sale of customer data
We do not sell personal information or Google user data, and we do not use Google user data for advertising.
Security of Your Information
Security safeguards
SpeakOps uses administrative, technical, and organizational safeguards to protect information. As reflected in the current backend implementation, OAuth refresh tokens for connected integrations are encrypted before being stored.
Data retention policy
We retain information for as long as needed to provide the Service, maintain the workspace, comply with legal obligations, resolve disputes, and enforce our agreements. Integration data may be deleted when a workspace disconnects an integration or closes its account, subject to backup and legal retention requirements.
Data collection from minors
We do not knowingly collect personal information directly from children under 13 through the Service. If we learn that we have collected such information in error, we will take reasonable steps to delete it.
Options Regarding Your Information
Workspace owners can disconnect Google integrations inside SpeakOps or revoke SpeakOps access from their Google account settings.
Depending on your relationship to the Service, you may be able to review, update, or delete account information through your account settings or by contacting us directly.
If you are a customer interacting with a business that uses SpeakOps and have questions about how that business handles your information, you should also contact the business directly.
